How many coffee sachets do you need? For an office, multiply people × cups per person per day × working days. For hotel rooms, multiply rooms × occupancy × sachets per occupied room × days. How the calculator works

  • Office: people in the office on a normal day × cups of coffee (or latte or karak) and tea per person per day × working days in the month.
  • Hotel rooms: rooms × occupancy gives the occupied rooms per night. That number × the sachets and tea bags you place in each occupied room × days in the month gives the monthly need.
  • Extra stock: the 10% option covers visitors, meetings and busy weeks so you do not run out before the next order.
  • Packs: results are shown in the pack sizes of our hospitality range: hotel boxes of 100 drink sachets, hotel boxes of 50 enveloped tea bags and boxes of 500 stevia sachets. For pantries and machines, the drink total is also shown as 1 kg bulk packs, at about 70 cups per kilo.

Tips for planning office drinks

  • Count real attendance: with hybrid work, use the number of people in the office on a typical day, not the headcount.
  • Measure for two weeks: note how many sachets go each week and adjust the cups per person in the calculator.
  • Offer choice: a mix of coffee, cappuccino, karak and tea, plus caffeine-free options such as date latte or rooibos, suits more people. Our caffeine calculator shows how much caffeine each drink has.
  • Sachets or bulk: sachets keep every cup the same and are easy to count; 1 kg bulk packs suit machines, buffets and busy pantries.

Tips for in-room tea and coffee

  • Set one tray standard per room type and use it in the calculator.
  • Refill only what was used: housekeeping tops trays up rather than replacing everything, so actual use is often lower than what is placed. Track it for a month and adjust.
  • Plan meeting rooms separately: attendees × coffee breaks per day × event days.
  • Choose individually wrapped items for rooms: sealed stick-pack sachets and enveloped tea bags stay clean and look tidy on the tray.

Office and hotel coffee: frequently asked questions

How many coffee sachets does an office need per month?

Multiply the number of people by the cups each drinks a day and by the working days. For example, 25 people drinking 1.5 coffees a day over 22 working days need about 825 coffee sachets a month, or 9 boxes of 100. Add around 10% for visitors and busy weeks.

How many tea and coffee sachets should a hotel put in each room?

There is no fixed rule. A simple starting point is one coffee and one tea per guest per night, so two of each for a double room, then adjust to your brand standard and to what guests actually use.

How do you calculate hotel amenities for a month?

Multiply rooms by occupancy to get occupied rooms per night, then by the number of sachets placed in each room and by the days in the month. 40 rooms at 70% occupancy for 30 days is 840 room-nights, so 2 coffee sachets per room-night means 1,680 sachets.

How many cups does 1 kg of cappuccino powder make?

Our 1 kg bulk cappuccino pack makes about 70 cups at 14 g of powder per cup, the same amount as one sachet. Bulk packs suit buffets, pantries and vending machines; sachets suit rooms and meeting tables.
